The bird is handled

The Thanksgiving potluck sign-up sheet: who brings what, how many of each, and when to send the link.

Thanksgiving is the original potluck: the host roasts the bird, everyone else brings the dish they’re known for, and the only part that ever goes wrong is the bookkeeping. Here is the sign-up sheet for 12, 25 or 40 people, with the counts filled in and the turkey math for a table where the sides are abundant.

Who brings what to a Thanksgiving potluck

The division is older than the sign-up sheet, and it holds because it is practical: the bird needs the oven and the gravy needs the drippings, and nothing else on the table has to.

WhoWhatWhy
The hostTurkey and gravy, and the houseOven, drippings, and a warm kitchen. Stuffing usually stays here too.
GuestsSides, rolls, desserts, drinks, an appetizerOpen categories, each with the number you are hoping for. People bring better food when they choose it themselves.
Whoever claims itIce, cups, platesNot food, so they fall through any sheet that only lists courses. Put them on as one-tap jobs.
The main is already spoken for. On any other potluck sheet the centerpiece is the one gap nobody notices until the day of; at Thanksgiving it has a name on it before the link goes out. That is why this is the easiest potluck of the year to run. If one side is yours by tradition, claim it on the sheet like anyone else so the count stays honest.

How many sides and desserts for 12, 25 or 40

Buffet portions overlap — people take a spoonful of many dishes rather than a full serving of a few — so sides run about one per 3–4 people and desserts about one per 6, the same table every potluck guide here uses.

Add someone on drinks and the supplies: for 25 people figure about 4 ten-pound bags of ice and 40 cups. The Desserts column is pie math — 1½ pieces a person at 8 slices to a pie — and each dish serves 8–12 whatever the headcount, so forty people means more dishes, never bigger ones. The dish-count guide runs the same table out to 50.

How big a turkey for a potluck

With a full potluck table the bird is one dish among many, so you can run leaner than a sit-down dinner: plan about 1 lb of bone-in turkey per person instead of the 1¼–1½ lb in the Thanksgiving-for-12 guide, which also has the full thaw table and roasting times. It is the same call the Friendsgiving guide makes.

PeopleTurkey, and the thaw (24 hours per 4–5 lb)
12A 13–15 lb bird. Thaws in 3–4 days — into the fridge by Sunday morning.
25About 25 lb: two 12–14 lb birds. Each thaws in 3 days — into the fridge by Monday morning.
40About 40 lb: two 20 lb birds. Each thaws in 5 days — into the fridge by Saturday morning.
The number on the label is pounds, not people. Two smaller birds beat one giant one at a potluck: they thaw in three days instead of five, they roast faster, and one can come out early and rest while the sides go in.

The Thanksgiving potluck sign-up sheet, step by step

  1. The host claims the bird. Turkey, gravy, and whatever side is yours by tradition — on the sheet with your name, like everyone else’s.
  2. The sheet lists what the table needs. Sides, Rolls, Desserts, Drinks, Appetizers — open rows, each with the number from the table above. Post the link in the same family thread you always use; the sheet keeps the ledger, the thread keeps the jokes.
  3. Everyone puts their name on their famous thing. Just a name — no account, no app. The sweet potato casserole, the pecan pie, visible to everyone the moment it is claimed, so duplicates simply don’t happen.
  4. The forgettable stuff gets its own rows. Ice, cups, plates — the things the host has silently absorbed for years — each become a one-tap “I’ve got it.”
And there is no cap on generosity. The sheet shows where the table is thin, but it never turns anyone away. A fourth pie is always welcome at Thanksgiving; too much food is the tradition working as intended.

When to send the Thanksgiving potluck sign-up

Thanksgiving 2026 is Thursday, November 26. Work back from there — the gaps fill in response to the updates, not the original ask.

The office Thanksgiving potluck

Same sheet, two constraints a house never has. Food arrives when people do — 8 or 9 in the morning for a lunch at noon — so ask for a majority of room-temperature dishes and treat the one microwave as something you allocate, not a given; the bird usually arrives bought and sliced, since nobody roasts at a desk. And the ask should not come from the boss, because volunteering stops being voluntary when a manager asks. The office potluck guide has the works-at-the-office table and the food-safety window.

Dietary needs, briefly

Collect them privately and pass them to the people cooking — nobody should have to announce an allergy to a family thread. On the day, label what a dish contains rather than what it is free of: “contains walnuts” is something you can actually know.

Quick answers

How do you organize a Thanksgiving potluck?

The host keeps the turkey and the gravy and posts the rest as open categories: sides, rolls, desserts, drinks, an appetizer, and the supplies. Each category carries the number you are hoping for, guests claim what they will bring with just their name, and one link in the family thread replaces the forty-message reply chain. Send the link 2 to 3 weeks out and post one update a week before.

What should the host make for a Thanksgiving potluck?

The turkey and the gravy, because the bird needs the oven and the gravy needs the drippings. Stuffing usually stays with the host for the same reason. If one side is yours by tradition, claim it on the sheet like anyone else so the count stays honest.

How many dishes do you need for a Thanksgiving potluck of 25?

About 6 to 7 sides and 4 to 5 desserts, plus 4 dozen rolls, someone on drinks, and the supplies: about 4 ten-pound bags of ice and 40 cups. Each dish only needs to serve 8 to 12, so a bigger crowd means more dishes, not bigger ones.

How big a turkey do you need for a potluck of 25?

About 25 lb of turkey, two 12 to 14 lb birds, at roughly 1 lb per person. That is leaner than the 1¼ to 1½ lb per person of a sit-down Thanksgiving because a potluck table is abundant. Thaw 12 to 14 lb birds about 3 days in the fridge; a 19 to 22 lb bird needs 5.

Can you run a Thanksgiving potluck at work?

Yes, with two changes. Food arrives when people do, 8 or 9 in the morning for a lunch at noon, so ask for mostly room-temperature dishes and treat the one microwave as something you allocate. And the ask should not come from the boss, because volunteering stops being voluntary when a manager asks.

When should I send the Thanksgiving potluck sign-up?

Two to three weeks out, which for Thanksgiving 2026 (Thursday, November 26) means November 5 to 12. Post an update on November 19 showing who is bringing what and what still needs someone, and a final note with arrival time and oven space on November 25.

Where these numbers come from

Sides run about one dish per 3–4 people because buffet portions overlap; desserts come from 1½ pieces a person at 8 slices to a pie; rolls are 1½ a person, bought by the dozen; ice runs 1–1½ pounds a head in ten-pound bags and cups 1½ a person, rounded to what stores sell. Every one of those is generated from the same table Dinner Caddy uses to build a real shopping list, so this page and the app cannot drift apart. The turkey rule is the Thanksgiving-for-12 guide’s 1¼–1½ lb per person, run leaner at about 1 lb because a potluck table is abundant — the same allowance the Friendsgiving guide makes — with thaw times from its 24-hours-per-4–5-lb table.

Set up the Thanksgiving sheet.

Tell Dinner Caddy it’s a potluck, claim the turkey, and share one link in the family thread. The four-pie problem ends this year. One link, no accounts, nothing to download.
